Use Cases

These are the situations we had in mind when building Next Task. They are our suggestions, not a limit. Your site and team will work differently, so adapt them to your needs, switch off the apps you don't use, and you may well find a use for it that we haven't thought of.

Personal task lists for site members

  • Situation: registered users of your Joomla site need somewhere to keep their own tasks.
  • How it can help:
    • Add a menu item once, with no per-user setup
    • Keep every person's lists private by default
    • Let people install it on a phone or computer on HTTPS sites

A team working from shared lists

  • Situation: several people work through the same tasks and need to see who is doing what.
  • How it can help:
    • Share a list with users or whole usergroups, to view or edit
    • Create team lists that belong to the site rather than a person
    • Assign tasks, with an email and a notification for the assignee

A team lead following workload

  • Situation: you need to see who carries the most open and overdue work.
  • How it can help:
    • Read the site-wide figures and charts on the Overview
    • Search, filter and sort everyone's work on the Users page
    • Open a person's tasks read-only from their row

Routine and repeating work

  • Situation: the same jobs come back daily, weekly, monthly or yearly.
  • How it can help:

Handing work over

  • Situation: someone changes role or leaves, and their lists must not be lost.
  • How it can help:
    • Transfer a list to another person, or make it a team list
    • Keep the previous owner on the list with edit access if you wish
    • Choose whether a deleted user's lists go to another user or are deleted

Tasks about particular Joomla users

  • Situation: tasks relate to particular users, and you already keep Joomla User Notes about them.
  • How it can help:
    • File a task as a User Note about the assignee or creator
    • Turn any User Note into a task in a list you can edit

Your own setup
