Use Cases
These are the situations we had in mind when building Next Inventory. They are our suggestions, not a limit. Your organisation will work differently, so adapt them to your needs, switch off the apps you don't use, and you may well find a use for it that we haven't thought of.
Equipment lent to people
- Situation: laptops, tools or cameras go out to staff and you need to know who has them.
- How it can help:
- Check assets out to named recipients, with department tracking
- Record the serial number, so the log shows which unit is with which person
- Check them back in with a timestamp
Supplies that get used up
- Situation: printer paper, cleaning materials or packaging run out without warning.
- How it can help:
- Track them as consumables, with a low-stock threshold per item
- Get email, browser push and in-app alerts when stock runs low
- See every item below its threshold on the dashboard
Products you sell
- Situation: you need to manage stock levels and know what your stock is worth.
- How it can help:
- Track products as sellables, with a unit price per item
- Record stock changes in batches with stock movements
- Review stock valuation and trends in reports
- Choose Standard, FIFO or LIFO costing
Stock across several sites
- Situation: stock sits in more than one warehouse, and staff at each site need their own view.
- How it can help:
- Open each site from the warehouse view, with its own counters and tabs
- Move stock in batches with transfers, using draft and finalise
- Share a link that opens the right warehouse and tab
Scanning on the warehouse floor
- Situation: staff look items up all day and use whatever scanning hardware you already own.
- How it can help:
- Scan into the Quick Search with a USB keyboard-wedge scanner and no configuration
- Find items by SKU, barcode or serial number
Bulk materials and fluids
- Situation: you buy in one unit and use in another, often in part units.
- How it can help:
- Record decimal quantities
- Define units with conversion chains
- Convert automatically between compatible units when a transaction is saved
Accountable stock records
- Situation: you need to show what happened to stock and who did it.
- How it can help:
- Keep an uneditable audit log with the user, reason and timestamp
- Record damaged, lost or found items as adjustments
- Export any report as CSV, or print it
Your own setup
Add your own data with custom fields, and turn off what you don't need in the App Manager. To try ideas safely first, use demo mode.
